About the Role
As a Backoffice Representative, youβll play a key role in ensuring smooth daily operations across departments. From validating orders and managing returns to coordinating shipments and supporting internal teams, youβll help keep operations flowingβand clients happy.
This is a dynamic and fast-paced position where no two days are alike. Youβll be the go-to person between logistics, sales, and backoffice, helping everything behind the scenes run like clockwork.
Your Responsibilities
πΉ Plan and organize shipments (arrange transport, create documentation, validate orders)
πΉ Monitor inbound and outbound shipments and handle logistics issues with partners
πΉ Manage returns (RMA) and repair logistics with customers and suppliers
πΉ Act as a central communication hub between departments
πΉ Maintain administrative accuracy: reporting, document handling, system logging
πΉ Help coordinate team meetings and contribute to daily planning scrums
πΉ Support sales teams with operational requests and documentation
πΉ Bring positive energy to the team and enjoy a friendly, international office vibe
A Typical Day
β 08:30 β Start the day with coffee & incoming orders
π 09:15 β Operational scrum to plan shipments and logistics
π€ 09:30 β Cross-team sync with backoffice, finance & legal
π¦ 10:00 β Validate new sales orders for smooth processing
π¬ 11:00 β Inbox time: pick-ups, RMA requests, quotes, coordination
π₯ 13:00 β Buffet lunch & chats in 25+ languages
π¨ 14:00 β Follow up on client emails and send reports
π¦ 16:00 β Wrap up orders & prep logistics for tomorrow
πͺ 17:00 β End the day with a group workout or relaxed wind-down

What Weβre Looking For
β MBO-level degree (Associate level or equivalent)
β 1β2 years of experience in an administrative or support role
